Privacy Policy

This policy explains what personal information we collect through this website and when you commission work from us, why we collect it, and what your rights are under the UK GDPR and the Data Protection Act 2018.

Who we are

Build3DRender is a trading name of RealRender3D Ltd, registered in England and Wales, company no. 17384887. Registered office: 128 City Road, London EC1V 2NX.

RealRender3D Ltd is the controller of the personal information described in this policy. That means we decide how and why it is used.

What we collect

When you request a quote through our form, we collect:

  • your name, email address and phone number;
  • your company name, if you give one;
  • the project type, deadline and project details you enter;
  • any drawings or other files you attach to the form (up to five files, 4 MB each).

If we go on to work together, we also hold the drawings, briefs, feedback and invoices that pass between us during the project.

Our hosting provider records standard server logs when you visit the site, such as your IP address, browser type, device type and the pages requested. We use Vercel Web Analytics to understand which pages are used. It is cookieless and does not follow you from site to site.

The quote form includes a hidden field to catch automated spam, and we limit how often the form can be submitted from one IP address. Neither of these is used to profile you.

Why we use it, and our lawful bases

  • To reply to your enquiry and prepare a quote. This is at your request, before entering into a contract, so the basis is contract.
  • To produce the work you commission, invoice you and keep our accounts. The basis is contract, and legal obligation where we must keep financial records.
  • To keep the website secure, prevent spam and understand how it is used. The basis is our legitimate interests in running a safe and useful website. We have considered your interests and rights and do not believe this use overrides them.

We do not make decisions about you by automated means, and we do not send marketing emails to people who have only used the quote form.

How long we keep it

  • Enquiries that do not lead to a project: 24 months from the last contact, then deleted.
  • Project files, drawings and correspondence: for the life of the project plus 12 months, unless you ask us to delete them sooner.
  • Invoices and accounting records: for as long as the law requires us to keep them.
  • Server logs: for the short period our hosting provider retains them.

Who we share it with

We do not sell your personal information. We use these service providers (processors) to run the site and the business:

  • Vercel hosts the website and holds server logs. It serves pages from edge locations in the EU and the US.
  • Resend sends the transactional email that delivers your quote-form submission to us. We use its EU region (eu-west-1).
  • Google Workspace provides our studio mailbox, where enquiries and project correspondence are stored.

We may also share project information with contractors who are bound by confidentiality and are working on your project, for example a specialist working on part of the model. We may disclose information where the law requires it.

International transfers

Some of our providers operate in, or can access data from, countries outside the UK, including the US. Where personal information is transferred outside the UK, we rely on the safeguards available under UK GDPR, such as UK adequacy regulations or standard contractual clauses (including the UK Addendum), where they apply to the provider concerned. You can ask us for more information about the safeguards in place.

Security

Project files are stored on access-controlled systems. No method of transmission or storage is completely secure, so please avoid sending anything highly sensitive that we do not need for the project.

Your rights

Under UK GDPR you have the right to:

  • access the personal information we hold about you;
  • have inaccurate information corrected;
  • have your information erased, in certain circumstances;
  • restrict how we use your information, in certain circumstances;
  • receive the information you gave us in a portable format;
  • object to our use of your information where we rely on legitimate interests.

How to complain

We would like the chance to put things right first, so please contact us if you have a concern. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

We may update this policy from time to time. The date at the top shows when it was last changed.
